We are looking for a dependable and compassionate Administrative/Office Assistant to support the daily operations of our client. This role is ideal for someone who is comfortable handling both administrative work and client-facing responsibilities with professionalism and empathy. You will play a meaningful role in supporting our clients during sensitive moments while ensuring that records, reports, and office operations are handled accurately and efficiently.

Responsibilities

  • Encode and upload client records and maintain accurate, organized digital files.
  • Update daily sales and merchandise summaries; perform bank and e-wallet reconciliations; update sales reports for BIR; monitor and summarize weekly sales versus expenses.
  • Prepare and submit weekly cremation statistics, diesel consumption reports, and machine status updates.
  • Send death anniversary messages to previous clients based on the client registry.
  • Accurately encode official receipts in a timely manner.
  • Print, organize, and replenish all required office forms and documentation.
  • Conduct weekly inventory of merchandise and office supplies and submit monthly inventory reports.
  • Perform daily admin office cleaning and assist with weekend cleaning of comfort rooms, viewing rooms, chapels, and parking areas.
  • Submit documents to government and partner agencies; assist clients with death certificate registration, cremation permits, and transfer permits; maintain updated liaison records.
  • Provide professional and timely support to walk-in and scheduled clients.

Desirable Skills
Must-Haves

  • Proven experience in administrative or office support roles
  • Strong attention to detail and high level of accuracy in data encoding and reporting
  • Ability to handle confidential records with discretion and professionalism
  • Basic accounting or reconciliation experience (sales, receipts, or expense tracking)
  • Good communication skills and a respectful, client-oriented approach
  • Willingness to perform both desk-based and operational support tasks
  • Comfortable working on-site and handling sensitive client interactions

Nice-to-Haves

  • Experience with BIR-related documentation or compliance reporting
  • Familiarity with inventory tracking and procurement processes
  • Experience working in healthcare, memorial, or service-oriented environments
  • Basic knowledge of government document processing
  • Proficiency in Excel or similar reporting tools
  • Calm, empathetic demeanor when dealing with clients in emotional situations
